I built 4 Zaps over 60 days to automate the repetitive parts of my affiliate content workflow. Here's what I actually set up and what it saves.
Zap 1 — Blog publish → social package: When a new post publishes on Recelis, Zapier triggers Copy.ai to generate 5 social captions, then drops them into a Notion database organized by platform. I check the database each morning and schedule what's ready. This saves me about 40 minutes per post.
Zap 2 — New subscriber → CRM tag: When someone joins my ConvertKit list from a specific lead magnet, Zapier adds them to HubSpot CRM with the correct tag automatically. No manual sorting, no missed contacts.
Zap 3 — Otter transcript → Notion draft: When Otter.ai finishes transcribing a recording, Zapier sends the transcript to a Notion database page formatted as a content brief. I open the brief and start writing — no copy-paste, no reformatting.
Zap 4 — Affiliate click → tracking sheet: When someone clicks an affiliate link, Zapier logs the timestamp, referrer, and link to a Google Sheet. Basic but useful for tracking which content drives affiliate clicks before commissions come in.
Where it fell short: Complex multi-step Zaps break. One of my automations failed silently for 3 days before I noticed — the trigger worked but the AI step returned an error that didn't alert me. Build error-notification steps into any Zap you rely on.
Task costs also scale faster than expected when AI steps are involved. Each AI action counts as a task, so a Zap with 3 AI steps uses 3x the task count you'd expect. On the free tier (100 tasks/month), one busy automation can exhaust your allowance.
My verdict: Zapier is worth using at any budget level. Start with the free tier and automate your single most repetitive workflow. The time savings justify upgrading to a paid plan once you've built 3+ active Zaps.
